Haul.VIN connects customers and transport professionals with vehicle storage facilities. This policy explains what information we collect, why we need it, and the choices available to you.

Scope

This Privacy Policy applies to services operated by Haul.VIN LLC, including our public website, customer and Host portals, facility listings, booking and payment workflows, vehicle custody records, support communications, and related online services.

When a facility, carrier, broker, dealer, shipper, fleet operator, vehicle owner, or authorized representative uses Haul.VIN, that person may provide information about other participants in a vehicle movement. If you provide another person’s information, you are responsible for having authority to do so.

Information we collect

Account and contact information

Name, business name, email address, phone number, login credentials, authentication provider identifiers, account role, and verification status.

Bookings and vehicle custody records

Facility searches, requested dates, booking status, vehicle count and description, VIN or licence plate, mileage, condition notes, timestamps, photographs, storage extensions, key-custody records, release instructions, gate-pass details, and the identity or business information of an authorized pickup party.

Host and facility information

Facility address, type, hours, capacity, rates, access rules, security features, photographs, services, availability, insurance or qualification information, payout status, and information about facility owners, staff, and co-hosts.

Transactions and support

Booking charges, refunds, payouts, payment status, invoices, receipts, provider transaction identifiers, messages sent to support, and records created while resolving a cancellation, dispute, safety issue, or payment problem.

Device and usage information

IP address, browser and device type, referring pages, pages viewed, approximate location derived from IP, session activity, cookie identifiers, and diagnostic or security logs.

How we use information

We use information to operate the marketplace; create and secure accounts; display facilities and availability; calculate rates and live storage balances; process bookings, payments, refunds, and payouts; document vehicle condition and chain of custody; issue and validate digital gate passes; coordinate check-in, storage, transfers, and controlled release; send operational notices; prevent fraud and unauthorized release; provide support; improve our services; enforce our agreements; and comply with legal obligations.

We may use aggregated or de-identified information for analytics, service planning, and business reporting where it cannot reasonably identify an individual.

How we share information

We share information only as reasonably needed for the service, including with:

  • Booking participants. Customers, Hosts, facilities, carriers, drivers, brokers, dealers, shippers, or other authorized parties receive the details needed to complete a booking, handoff, or release.
  • Service providers. Companies supporting hosting, storage, security, communications, identity, analytics, payments, payouts, and customer support process information for us under appropriate agreements.
  • Legal and safety recipients. We may disclose information when required by law or when reasonably necessary to protect a person, vehicle, facility, the platform, or the rights of Haul.VIN and its users.
  • Business transactions. Information may transfer as part of a merger, financing, acquisition, restructuring, or sale of some or all of our business, subject to applicable law.
We do not sell personal information for money.

We do not use vehicle custody records, VINs, condition photos, or gate-pass information for cross-context behavioural advertising.

Payments and authentication

Payment and payout information is processed by payment providers such as Stripe. Haul.VIN receives transaction identifiers, payment status, limited account details, and other information needed to manage the transaction, but does not intend to store complete card or bank-account numbers.

If you use a third-party sign-in option such as Apple, the provider sends us information permitted by you and needed to authenticate the account, which may include a provider identifier, name, and email address. Your use of those services is also governed by the provider’s privacy terms.

We use cookies and similar technologies for essential sessions, authentication, security, preferences, and service performance. You can control cookies through your browser, although disabling essential cookies may prevent account or booking features from working.

Retention and security

We retain information for as long as reasonably needed to provide the service, maintain vehicle custody and transaction records, resolve disputes, prevent fraud, enforce agreements, and meet tax, accounting, insurance, and legal requirements. Retention periods vary by record type and circumstances.

We use administrative, technical, and physical safeguards designed for the sensitivity of the information. No online system is completely secure, and we cannot guarantee absolute security. Please use a unique password, protect gate-pass information, and notify us promptly if you believe an account or release authorization has been compromised.

Haul.VIN is based in the United States and works with service providers and marketplace participants in the United States and Canada. Information may be processed in a country different from where you live and may be subject to that country’s laws.

Your choices and rights

Depending on where you live, you may have the right to request access to, correction of, or deletion of personal information; receive a portable copy; withdraw consent; object to or restrict certain processing; or appeal a decision about a privacy request. These rights may be subject to identity verification and legal exceptions, including records we must retain for active bookings, vehicle releases, fraud prevention, disputes, or legal compliance.

You can update certain account and facility information in the applicable portal. To make a privacy request, email Support@haul.vin with “Privacy request” in the subject line. We may ask for information necessary to verify your identity and authority.

Our services are intended for adults and businesses. They are not directed to children under 18, and we do not knowingly collect personal information from children.

Updates to this policy

We may update this policy as our services or legal obligations change. We will post the revised policy here and update the “Last updated” date. If a change materially affects how we use personal information, we will provide additional notice where required.
